Setting Appointments
When we met, you were you were just a baby. and you met in person and in set availability. and we made an appointment, but now you’ve gone through so much. you know so many things about how to organize that it’s time for you to get on the other side of the glass. it’s time for you to be the person that people look to and meet and talk to. there are lots of tools that will let you do this appointment setting and availability. I’m gonna teach you fluent booking because that’s what Mosaic Atlanta uses.
so if you are set yourself up for availability inside here, like you’ll just have it. now this is easy to install. you can go into the WordPress dashboard, search for fluent booking, install it, and activate it, right? but however no matter what you’re using, most of these steps will still apply. so there’s no need to panic. and you can get in here and access your settings. setting your availability is where we’re gonna go here.
when are you available? you don’t need to play phone tag here. I’ve been to so many meetings where we’re passing around this form when to meet. and it’s eight people, and they all pick different times. and we’re all trying to establish a consensus. this is just you picking your times. when are you available to have these kind of conversations?
you might not have capacity all week. you know, for me, like if somebody needs to talk to me for 15 minutes, they can do it on the weekend in the afternoon for a couple. like I’ll have a couple hours’ worth of space that I can talk to you about this or that. but also, the days have things change. so this is something where you can always choose when you’re available. and if something changes, you’re not available anymore. you can also add buffer times.
and these are breaks that happen between the meetings, and this helps you avoid. I mean, you should not be grinding appointments for any kind of like free community work, right? hello you’ve got different types of appointments. you can do group calls. yeah you can host group calls on fluent booking. you can do one-on-one calls. you can set different durations.
you have a lot of control over this. and you make your booking form. you put in your name, your email, preferred time. fluent forms will help you with a lot of this. fluent booking, rather, and put it on your website. and you can be booking will have a pre-made landing page. so if you, I don’t know anything about website, just the pre-made landing page, daddy, embed that shortcode on the page.
if you have more of a design, it’s totally up to you. and what I’ll say is your messaging: make it personal. talk about why you’re you’re talking to them and why you’re passionate about it. boy I love to help people. talk about, you name it. after they book, you set up a confirmation email. so write a short email and just say, hey you are officially registered.”
what you can say is, “I can’t wait to meet you.” could be the exact phrase that you use. “I can’t wait to meet you.” meet you the Internet’s full of distractions these days, so thanks for setting the time for a focused conversation with me about community initiatives or whatever words you want to use. send a meeting to send a reminder the day before. send a reminder an hour before and sync it with your Google Calendar. so that maybe you’re on the phone, maybe you’re, you know, you could be on the phone, you could be on your computer, to be at work, to be on vacation.
but your appointment should sync automatically without too much extra trouble. and definitely use the notes feature. keep notes of your discussions. fluent booking, you should be able to talk to everybody you talk to and have a little note field. and you can see all of your upcoming appointments at one place. it’s also good to remember what you talked about. you know, have a personal note based on what your conversation was.
it doesn’t need to be the greatest thing ever. you know, hey thanks for discussing equality. love to keep the momentum going.” hey love to discuss human rights. hey whatever the specific thing we talked about. or if you have some funny memory, like I wasn’t there at the conversation, just add something personal and thank them. and a central call to action is always good.
remember that these are the central things that we’re always asking for. so think about whether these are relevant to your conversation. and if they are, then put them in. and odds are good that no matter what situation they’re in, they can do one of these things. and those are, you know, the metrics that we look at that make us feel successful. alright so that is you. you are now able to not just show up to appointments but be the appointment yourself.
isn’t that awesome? so if you’re looking at this, you’ve graduated. is that marriage? I don’t know all the songs, but there’s nothing else that I can teach you. well that’s not exactly true. there’s lots that I can teach you. I can teach you things in more detail.
I can teach you, like, I can be more effective as a teacher. but in terms of things that I can share with you, we’ve we’ve said it all.
and you are fully equipped to be a… you of course, have not graduated from being an organizer. but uh honestly, a lot of this stuff you might have known how to do already. but you now know how to do all these things in a holistic, self-directed, and complete way, which is awesome. you are a part of a journey that will last your entire life. but however I want you to remember that each individual day of your life belongs to you and that you should do the things that make you feel at peace, at ease, happy, more in touch with not just yourself but with the world around you. go from courage to reason to achievement and joy, and make that something that you do all the time.
